Supporting our Legal team in Darmstadt, we are in search of an Admin Specialist Legal (m/f/d) in part-time, 20 hours per week, limited for one yearThe position will provide administrative support to our attorney in Darmstadt. The position shall be reporting to the Senior Regional Counsel for (i) Central Europe with regard to oncology systems and (ii) EMEA, CIS and India with regard to Proton Therapy as well as (iii) all German sites (Darmstadt, Troisdorf and Haan). The basis for the role consists of traditional general administrative matters and legal support, such as: Organize and manage meetings, trainings, business trips and travel schedules, as well as handle expense reports and invoices General secretarial activities, correspondence, drafting of contracts, memo’s, reports and other documents customary for the Legal Department (mostly in English) Regularly interact with Legal Department, paralegals, external contacts (e.g. governmental agencies and authorities), outside counsel and clients and support the Legal Department in its day-to-day work Handle, draft, and support the execution and subsequent notarization, apostil, legalization of international documents required for VMS-companies (e.g. PoAs, Certificates, Authorizations, ToWhomItMayConcern letters, etc.) Responsible for creating and organizing documents and records on certain corporate documentation, working files, vital projects and for the activities of the group (third party contracts, intercompany, etc. With the right personality and competence, the position will be expanded to include also elements of tasks performed by a Legal Specialist: Basic legal research and drafting, resolve and respond to routine questions, prepare and draft routine and standard agreements Support the Legal Department by handling regional and HQ projects for various client groups Handle, manage and supervise Corporate Governance matters in subsidiaries to ensure a seamless communication, a high level of transparency and effective execution of the tasks at hand Monitor and communicate case developments, schedules, and filing deadlines to attorneys, clients, and other stakeholders 1 - 3 years as legal secretary, registrar, office clerk, or similar Degree in law preferable English on native speaker level Proficiency in MS Office tools (Outlook, Power Point, Word, Excel), experience with SAP or equivalent ERP desired
